Office Equipment And Systems For Corporate Clients
As existing users of office equipment, SOS Systems will be able to save you money, improve your efficiency – or both. Large businesses choose SOS Systems for a variety of reasons, some because of the competitive pricing structure, some because the after sales back-up is second to none. However, many choose SOS because they take time to understand your business structure, its needs and demands.
Operating across the UK, SOS specify, supply, install and manage your office machine network. SOS are recognized as leading suppliers of great brands such as Canon, Lexmark and Ricoh copiers.
An accredited Canon copier representative, we have to conform to the strictest standards, that’s from product knowledge through to full service back-up, something we’re very proud to pass with flying colours at each level of assessment.
Typically, SOS Systems will complete a free of charge ‘print audit’ to fully analyse what the print, scan and copy demands are, before making a recommendation based on efficiency and productivity. "Our expert will come into your business, evaluate your print, scan and copy output, then deliver a schedule of savings that can be made – simple."
On average, we managed to demonstrate 30% cost savings and in some cases, identified ‘charge-back’ revenue opportunities. During the Print Audit process, the SOS Systems team work with businesses to find any hidden revenue drain within the printers and office equipment you use. Recent research by IT industry analyst, Gartner, found that costs associated with an unmanaged print environment, can climb as high as 6% of a firm’s revenue – so there’s often a need for immediate and meaningful action.
Here are some considerations when looking at your current print provision:
1. Be aware of running too many machines – the cumulative cost of running these in terms of toner, ink etc is likely to be inefficient, when you could possibly network printers with much lower running costs.
2. Are the right print jobs going to the right machines? Each printer is designed to deliver a certain quality and handle a target output – getting the right volume flow through the right machine can mean reduced costs.
3. Most businesses buy printers based on the initial capital expenditure, however it’s the consumable costs that is likely to define whether you’ve chosen wisely. It’s all too easy to overlook the consumable cost and not consider the actual cost over the period of the machine.
4. It might seem basic, but the positioning of your machines can be crucial. Consider who uses the machines the most frequently and position accordingly – it’s vital that you put a value on wasted time for your staff.
5. Do staff have access to your print facility for personal use? If so, you could be sponsoring their local cricket club, drama society etc…without even knowing it. Install a system with user ID and monitor each and every copy.
6. During the recession many businesses have downsized, putting space at a premium. Introduce a ‘scan to file’ facility and you’ll reduce the need for archiving and make key documents just a click away.
7. As with your staff, any down time is costly to a business. Make sure you look for a contract that includes remote diagnostics – this involves your machine provider monitoring the status of your equipment remotely. The benefit is simple – they will identify many faults before they effect the performance of the machines.
8. It’s about prevention, not cure. The right provider will have experience in machines from the best manufacturers and will, with the benefit of the likes of remote diagnostics, provide a preventative service program – reducing downtime and inconvenience to you and your operation.
9. If you are handling a high level of copying and scanning for clients, consider a charge-back system. Using the right machine, each job can be allocated to a client and added to their project fee.
10. Whilst you may be in a print, scan and copy contract, there is often an opportunity to buy yourself out of it, allowing you to enter into a new, more efficient agreement, negating the buyout cost.
